Frequently Asked Questions (FAQ)

1. Until when do I have to deliver the documents after completing the internship?
Students are obliged to submit the Completion Form Recognizing Other Activities, including Supplementary Internship, in lieu of the Mandatory Internship within 2 weeks.

2. What documents do I need to submit to have my work recognized as mandatory
internship?
You should prepare the Completion Form Recognizing Other Activities, including Supplementary Internship, in lieu of the Mandatory Internship, which must be completed and signed by a person from the Company and the Supervisor

3. What documents are needed to have running your own business recognized as mandatory internship?
The student prepares the Completion Form Recognizing Other Activities, including Supplementary Internship, in lieu of the Mandatory Internship, which he/she is required to complete and then obtain the signature of a person from the Company or in the case of self-employment their own signature as the owner of the company and the Supervisor’s signature.

4. What documents are needed to have the internship I completed previously recognized as a mandatory internship?
The student prepares the Completion Form Recognizing Other Activities, including Supplementary Internship, in lieu of the Mandatory Internship, which he/she is required to complete and then obtain the signature of a person from the Company and the Supervisor.

5. What if I don’t have a supervisor?
If the student doesn’t have a supervisor, this function is attributed to the Dean.

6. What if I cannot contact my supervisor?
If you cannot contact your supervisor or if the supervisor is away from the University for a longer period of time, you should:

  • Obtain the signature of a person replacing the supervisor or the Department Head;
  • Undergo supplementary internship and after its completion have it recognized as the mandatory internship;
  • Undergo the internship without an agreement with the University (after prior arrangement with the company) and after its completion, follow the steps of procedure for recognizing previously completed internship as a mandatory internship (in accordance with the requirements).

It is not possible to sign an mandatory internship agreement without the signature of the supervisor or a person acting as their substitution.

7. How to list the tasks performed during the internship?
The tasks performed during the internship should be agreed with the company that accepts the student for the internship. If the company has not provided such information, the tasks performed during the internship must be listed by the student by answering the question - What would I like to do at a particular work position? or following the internship offer contained in the advertisement.

8. How long is the mandatory internship supposed to last?
The duration of the internship is specified for each study program and published on the Student Internships website and in syllabuses.

9. How long is the supplementary internship supposed to last?
The duration of the internship is specified in the Rules and Regulations of Student Internships and on the Student Internships website.

10. How long do I have to work for it to be recognized as a mandatory internship?
The duration of the internship is specified in the Rules and Regulations of Student Internships and on the Student Internships website.

11. How long do I have to run my own business for it to count as mandatory internship?
The duration of the internship is specified in the Rules and Regulations of Student Internships and on the Student Internships website.

12. Does the University help in finding an internship?
There are job, internship and apprenticeship opportunities available on the University’s website. Please contact the Careers Service and Alumni Relations.

13. I am a student of Rybnik Branch, can I deliver the internship documents without coming to Katowice?
Please deliver the complete set of documents to the Dean's Office, which will then deliver the documents to the office by internal mail. After signing the documents, they will be returned to the Dean's Office in Rybnik, unless the student contacts the Dean's Office and arranges a different way of delivering the documents.

14. How can I cancel my internship?
Cancellation of an internship should be reported by the student to the Dean's Office in writing (via statement or email to praktyki@uekat.pl), immediately after the event occurs. A sample statement is available at (Statement of Internship Cancellation).

15. When will I see the credit for my internship in the Virtual University?
The Dean's Office is responsible for providing the organizational support for internships, the credit for the internship will be visible only after the supervisor records it.

16. Which year of studies should I include on the internship documents if it takes place during the summer vacations?
Please write “II” due to the fact that the second year is the one in which the student is obliged to complete the internship.

17. Where are the downloadable documents for internships?
Documents are sent to the student after completing an electronic form.

18. Is it possible to deliver the documents to the Office by regular mail?
Yes, please send documents to the following address:

Once signed, the documents will be returned to the sender's address. If you prefer another form of delivery, please contact us by e-mail.

19. Is it possible to sign an agreement/contract that I received from a company?
Yes, but please remember that such an agreement/contract has to be accepted by the University Legal Counsel, so the time of signing the agreement increases. Please report such situation in advance.

20. Is it possible to sign an agreement during the internship?
No, the agreement must be signed by company representatives and the University not later the day the internship begins.

21. How do I fill in the schedule on the agreement and Internship Recognition Form when I have more than 120 hours?
There are few options: 

  • Print the first page of the document twice
  • Create a table like the one in the document and attach as an appendix
  • Break it down into weeks rather than days of internship

Please do not edit the internship documents as the templates are introduced by the Rector’s Order and must remain unchanged.

22. Can I complete the required number of hours in a shorter period of time than the one specified in months, e.g. 360 hours in two months?
We ask that the agreement dates match the monthly requirement.

23. Can I sign an agreement with a company that does not have its registered office in Poland?
Yes, you can use template documents in English – “Documents in English” section.

24. Can I extend my internship?
Yes, please contact us to make an annex to the agreement while it is still in force. Unfortunately, it will not be possible after the agreement has expired. Please remember that any changes to the agreement must be immediately reported to the Dean's Office.

25. Do the dates on the agreement and the Internship Completion Form have to be the same?
The dates on the Agreement (paragraph 1) must be the same as the start and end dates on the Internship Completion Form (please contact us if you need an extension).

26. How many hours per day can I participate in internship?
The Rules and Regulations do not specify a minimum or maximum number of daily hours for an internship.

27. Can an internship take place at more than one company?
Yes.

28. When do I have to provide the "Declaration of the organizational unit of the University”?
This document replaces the agreement if you are doing your internship in an organizational unit of the University.
