Non-EU citizen - Education obtained outside EU / OECD / EFTA / Ukraine / China

Below is a step-by-step guide to help you navigate the application process and ensure a smooth enrollment at UE Katowice.

1) Learn about the application rules and how admission points are calculated

Before starting your application, please familiarize yourself with the admission rules and the method used to calculate recruitment (admission) points.

  • Applicants whose secondary school education was obtained outside the EU, OECD, or EFTA countries are required to obtain formal recognition of their education as part of the admission process. The requirement doesn’t apply to certificates covered by international agreements on the recognition of education (including China and Ukraine), as well as IB and EB diplomas.

Such recognition must be issued by NAWA (Polish National Agency for Academic Exchange).

Please note that:

  • The recognition process is conducted online via the NAWA SYRENA system.

  • The procedure is free of charge.

  • NAWA may need approximately 60 days or more to issue the recognition statement. Therefore, applicants are strongly advised to apply for recognition as early as possible, preferably before starting the admission process.

You may apply for an individual recognition statement via the SYRENA system here:
https://nawa.gov.pl/en/recognition/how-to-obtain-a-recognition-statement/secondary-school-certificate

Be aware that after submitting the application, you must confirm submission via email by clicking the individual activation link generated in the SYRENA System and sent to the email address you provided in the application form. Without completing this step, your application will not be processed by NAWA.

* Please note that if you submitted an application to the Education Superintendent (Kuratorium Oświaty) by 30 June 2025 and received a recognition decision based on that application, the decision remains valid and you are not required to obtain an additional recognition statement from NAWA.

  • Candidates whose education was obtained outside the EU/OECD/EFTA are required to take an entrance examination. The character and scope of the examination are described on our website.

Entrance examinations do not apply to holders of foreign secondary school certificates from EU, EFTA, or OECD member states, certificates covered by international agreements on the recognition of education (including China and Ukraine), as well as IB and EB diplomas.

  • For Bachelor’s programmes, two subjects are taken into account during the qualification process: one foreign language and one of the following subjects: Mathematics, Geography, History, Physics, or Informatics.

A maximum of 200 admission points may be obtained from the two subjects taken into account when calculating the admission score (up to 100 points for each subject). The conversion scales for grades from foreign certificates into recruitment points are available on the website.

The result of the entrance examination constitutes 50% of the total admission score. The remaining 50% is calculated as the candidate’s admission points multiplied by a coefficient of 0.5.

2) Apply online

The admission process is conducted via the IRK application system.

Create an account in the IRK system, log in, complete all required personal data, provide information about your education, choose your study program(s), and follow the subsequent steps.

You may find it useful to consult our IRK System Manual, which presents, step by step, how to complete your application and navigate the IRK system. Click here to read the manual.

Your IRK account includes a “Help” tab, which should be used for all correspondence regarding your application. Messages sent through this tab are automatically linked to your account, allowing us to respond more quickly and efficiently.

3) Prepare and scan the required documents

Please prepare scans of the following documents:

  • Secondary school leaving certificate or a document confirming completion of the final examination

    • a scanned copy of the document must be uploaded to the IRK recruitment system,

    • the original document (legalized or bearing an apostille*) must be presented upon arrival at the university.

* Apostille/legalization is not required at the stage of application. The deadline for its submission is upon enrollment in Poland (by the end of September). However, in the absence of full legalization of documents at the time of application, they must be authenticated by the the competent local authority (usually the Ministry of Foreign Affairs).

  • Sworn translation of the secondary school certificate into English or Polish;

  • Certificate confirming your proficient command of English (minimum required level: B2) - see the list of accepted certificates;

  • Individual recognition statement on secondary education issued by NAWA (Polish National Agency for Academic Exchange), confirming that your education entitles you to continue education at the university (Bachelor’s / first-cycle level); this document is required only if your education is not automatically recognized in Poland (please check the recognition rules);

  • Document confirming the right to study under the same tuition fee conditions as Polish citizens (if applicable);

  • Written consent of the statutory representative (if you are under the age of 18);

  • Recent passport photograph – prepared in accordance with the specified requirements.

4) Upload all required documents to the IRK application system

Upload scans of the required documents to the dedicated sections of your “Enrollment applications” within the specified deadlines.

Please note that once the round has ended, it will no longer be possible to upload any files in the system. Applications that are not completed before the end of the round will not be considered.

5) Pay the application fee

Pay the application fee in the amount of PLN 85 or EUR 20 (the bank account number is available in the IRK application system).

Upload the payment confirmation to your account in the same section where you uploaded your documents. This helps us identify the payment in our bank statements. In the absence of the necessary information in the transfer title, which prevents us from assigning the payment to the candidate, if the payment is not processed before the end of the round, the application will not be considered.

Once the payment is credited to the University's bank account, your application will be further processed and verified. Applications without payment will not be considered or verified.

6) Wait until your documents are verified

Your application will be verified in the IRK system during the admissions round. If your application requires supplementation, you will be informed in the system about any missing documents. Please note that if the required documents are not submitted within the specified deadline, your application will be left without consideration.

The qualification status will be updated only after the end of the admissions round (please refer to the admission schedule).

7) Take the entrance exam

Candidates whose education was obtained outside the EU/OECD/EFTA are required to take an entry examination. The character and scope of the examination are described on our website.

You will be notified of the date of your online examination in advance via a message in the IRK system.

8) Wait for the qualification decision

On the day the results are announced, the qualification decision will be visible in the IRK system (please refer to the admission schedule).

8) Pay the tuition fee

After you are qualified for your chosen program, you will receive a payment notification for the first-year tuition fee. Once we confirm the transfer, we will issue your acceptance letter which can be used for your visa application.

In case of visa refusal, candidates are entitled to a full refund of the tuition fee (note that banks may charge transfer fees). The refund will be made to the account indicated by the applicant. You must provide the necessary information for the transfer using the special form and attach the visa refusal letter. Please note that if the payment was made in a currency other than PLN, currency conversion rates may cause the refunded amount to differ from the original payment.

9) Apply for a visa (if required)

Apply for a visa at a Polish consulate. Please check the visa requirements for your country beforehand. In most cases, you can submit your visa application no earlier than 6 months before your planned trip and no later than 15 days before departure. Please note that the later you submit your application, the greater the risk that your visa may not be issued in time.

For more consular information, see: https://www.gov.pl/web/gov/katalog-jednostek
For more information on visas and residence permits, see: https://www.ue.katowice.pl/en/admissions/practical-info/visa-residence.html

Remember to bring all required documents for legalization by the Polish consul (unless they bear an Apostille). Please note that it is usually necessary to book a separate appointment at the Embassy for document legalization.

10) Visit the Admissions Office at UE Katowice and complete the enrollment procedure

The admission procedure is completed once the original documents previously uploaded as scans in the recruitment system are submitted to the Admissions Office.

If you are already in Poland, you are requested to submit your original documents to the Admissions Office within the deadline applicable to candidates residing in Poland (in accordance with the notification in the IRK system) or within a deadline agreed individually with the Admissions Office. Timely submission is vital to complete your enrollment, obtain access to USOS (the Student System), receive your class schedule and student ID card, and register for selected courses (e.g., foreign languages and physical education).

If you are applying for a visa and cannot arrive earlier, you must come to Poland before the start of the semester (by the end of September at the latest)

Visit the Admissions Office and bring all your original documents so that copies can be made and included in your student file. The Admissions Office is located in the CNTI building, room 2/17, Bogucicka 5 Street, Katowice.

If you fail to enroll in person within the registration period, you will not be officially registered as a student, and your admission may be cancelled. If, due to objective reasons, you are unable to meet this deadline, you must inform us in advance and obtain the Rector’s approval to arrive after October 1st. Such requests are considered on an individual basis.

To enroll in a study program in Poland, you must have health insurance valid from your first day in Poland. Proof of insurance will be requested when submitting your documents.

This can be:

  • Medical travel insurance with coverage of at least EUR 30,000, covering all expenses that may arise due to medical repatriation, medical emergencies, urgent hospitalisation, or death; or

  • Medical insurance in accordance with Polish regulations on health care benefits financed from public funds.

Additionally, non-EU citizens must provide proof of legal residence in Poland, such as a visa or residence card.

NOTE: We warmly invite you to take part in Integration Week for incoming international students. Integration Week will take place in the last week of September 2026. It is an important part of preparing for the start of your studies and adapting to the academic environment. Participation in this event is not mandatory but highly recommended.
