Below is a step-by-step guide to help you navigate the application process and ensure a smooth enrollment at UE Katowice.
1) Learn about admission rules
Before starting your application, please familiarize yourself with the admission rules.
If you want to study for a Master’s in Poland, your previous education must entitle you to continue your studies in the country where you graduated.
We thoroughly verify this matter during the application process. However, you can try to check it on your own here: kwalifikator.nawa.gov.pl
If you are generally eligible to pursue a Master’s degree, a related academic background is not required for admission.
As a rule, candidates applying for an MA programme at our University are invited to attend an online interview.
Among the fields evaluated in the interview are:
- the candidate's diploma
- command of English (the minimum level is B2)
- knowledge
- motivation
- professional experience.
All of the above will be taken into account in determining the final result, which is decisive for admission to the programme.
Note that all diplomas issued outside the EU, OECD, or EFTA countries have to be recognised by NAWA (Polish National Agency for Academic Exchange)
- The recognition process is conducted online via the NAWA SYRENA system.
- The procedure is free of charge.
- NAWA may need approximately 60 days or more to issue the recognition statement. Therefore, applicants are strongly advised to apply for recognition as early as possible, preferably before starting the admission process.

Be aware that after submitting the application, you must confirm submission via email by clicking the individual activation link generated in the SYRENA System and sent to the email address you provided in the application form. Without completing this step, your application will not be processed by NAWA.
2) Apply online
The admission process is conducted via the IRK application system.
Create an account in the IRK system, log in, complete all required personal data, provide information about your education, choose your study program(s), and follow the subsequent steps.

Your IRK account includes a “Help” tab, which should be used for all correspondence regarding your application. Messages sent through this tab are automatically linked to your account, allowing us to respond more quickly and efficiently.
3) Prepare and scan the required documents
Please prepare scans of the following documents:
Higher education diploma (at least a Bachelor’s degree or equivalent)
the original diploma (legalized or bearing an apostille,* depending on the country of issue),
a scanned copy must be uploaded to the IRK application system,
the original document must be presented upon arrival at the University.
* Apostille/legalization is not required at the stage of application. The deadline for its submission is upon enrollment in Poland (by the end of September). However, in the absence of full legalization of documents at the time of application, they must be authenticated by the the competent local authority (usually the Ministry of Foreign Affairs).
Important notes:
! To participate in the qualification interview, it is sufficient to upload a scan of your transcript of records covering all completed semesters to date.
! If your diploma requires an individual recognition statement from NAWA (see section: "Learn about admission rules"), please take into account that the process may take up to 60 days. For students completing their studies close to the application deadline, there may not be enough time to obtain the recognition statement before your admission can be finalized. The recognition is required before we can issue your acceptance letter, which is necessary for applying for a visa.
Diploma supplement or transcript of records
the original document (legalized or bearing an apostille, depending on the country of issue),
a scanned copy must be uploaded to the IRK system,
the original must be presented upon arrival at the University,
for information on apostille/legalization, please refer to the diploma section above.
Sworn translation of the diploma and its supplement / transcript of records into English or Polish;
Certificate confirming your proficient command of English (minimum required level: B2) - see the list of accepted certificates;
Individual recognition statement issued by NAWA (Polish National Agency for Academic Exchange). This document confirms that your diploma entitles you to continue education at the Master’s (second-cycle) level in Poland. For more information, see section: "Learn about admission rules".
Document confirming the right to study under the same tuition fee conditions as Polish citizens (if applicable);
Recent passport photograph – prepared in accordance with the specified requirements.
4) Upload all required documents to the IRK application system
Upload scans of the required documents to the dedicated sections of your “Enrollment applications” within the specified deadlines.
Please note that once the round has ended, it will no longer be possible to upload any files in the system. Applications that are not completed before the end of the round will not be considered.
5) Pay the application fee
Pay the application fee in the amount of PLN 85 or EUR 20 (the bank account number is available in the IRK application system).
Upload the payment confirmation to your account in the same section where you uploaded your documents. This helps us identify the payment in our bank statements. In the absence of the necessary information in the transfer title, which prevents us from assigning the payment to the candidate, if the payment is not processed before the end of the round, the application will not be considered.
Once the payment is credited to the University's bank account, your application will be further processed and verified. Applications without payment will not be considered or verified.
6) Wait until your documents are verified
Your application will be verified in the IRK system during the admissions round. If your application requires supplementation, you will be informed in the system about any missing documents. Please note that if the required documents are not submitted within the specified deadline, your application will be left without consideration.
The qualification status will be updated only after the end of the admissions round (please refer to the admission schedule).
7) Take the qualification interview
After your application has been successfully verified, you will receive detailed information regarding an online qualification interview. The interview is conducted remotely and is an obligatory part of the admission process (for more information, see the section: "Learn more about admission rules"). You'll receive an invitation to the interview via the IRK system.
8) Wait for the qualification decision
On the day the results are announced, the qualification decision will be visible in the IRK system (please refer to the admission schedule).
9) Pay the tuition fee
After you are qualified for your chosen program, you will receive a payment notification for the first-year tuition fee. Once we confirm the transfer, we will issue your acceptance letter which can be used for your visa application.
In case of visa refusal, candidates are entitled to a full refund of the tuition fee (note that banks may charge transfer fees). The refund will be made to the account indicated by the applicant. You must provide the necessary information for the transfer using the special form and attach the visa refusal letter. Please note that if the payment was made in a currency other than PLN, currency conversion rates may cause the refunded amount to differ from the original payment.
10) Apply for a visa (if required)
Apply for a visa at a Polish consulate. Please check the visa requirements for your country beforehand. In most cases, you can submit your visa application no earlier than 6 months before your planned trip and no later than 15 days before departure. Please note that the later you submit your application, the greater the risk that your visa may not be issued in time.

Remember to bring all required documents for legalization by the Polish consul (unless they bear an Apostille). Please note that it is usually necessary to book a separate appointment at the Embassy for document legalization.
11) Visit the Admissions Office at UE Katowice and complete the enrollment procedure
The admission procedure is completed once the original documents previously uploaded as scans in the recruitment system are submitted to the Admissions Office.
If you are already in Poland, you are requested to submit your original documents to the Admissions Office within the deadline applicable to candidates residing in Poland (in accordance with the notification in the IRK system) or within a deadline agreed individually with the Admissions Office. Timely submission is vital to complete your enrollment, obtain access to USOS (the Student System), receive your class schedule and student ID card.
If you are applying for a visa and cannot arrive earlier, you must come to Poland before the start of the semester (by the end of September at the latest).
Visit the Admissions Office and bring all your original documents so that copies can be made and included in your student file. The Admissions Office is located in the CNTI building, room 2/17, Bogucicka 5 Street, Katowice.
If you fail to enroll in person within the registration period, you will not be officially registered as a student, and your admission may be cancelled. If, due to objective reasons, you are unable to meet this deadline, you must inform us in advance and obtain the Rector’s approval to arrive after October 1st. Such requests are considered on an individual basis.
To enroll in a study program in Poland, you must have health insurance valid from your first day in Poland. Proof of insurance will be requested when submitting your documents.
This can be:
Medical travel insurance with coverage of at least EUR 30,000, covering all expenses that may arise due to medical repatriation, medical emergencies, urgent hospitalisation, or death; or
Medical insurance in accordance with Polish regulations on health care benefits financed from public funds.
Additionally, non-EU citizens must provide proof of legal residence in Poland, such as a visa or residence card.
NOTE: We warmly invite you to take part in Integration Week for incoming international students. Integration Week will take place in the last week of September 2026. It is an important part of preparing for the start of your studies and adapting to the academic environment. Participation in this event is not mandatory but highly recommended.
